The Student Hiring Pilot
For the past two years, University Human Resources has worked with schools and units across Grounds to pilot a new student hiring and onboarding process to reduce the administrative burden while providing better service to our student employees.
This year, HR and the Ufirst project teams partnered to further streamline the student hiring process, gather needs and gain customer feedback, and test Workday-enabled process improvements using current technology. To develop and operationalize this revised pilot, Marcus Hamilton, the HR Solution Center’s Quality & Innovation Analyst, partnered with UHR’s Operations and Strategic Systems & Support teams to mirror the future Workday-enabled process.
The team will continue to gather feedback, review lessons learned, and inform Workday configuration. They are also excited to build a stronger partnership with the UVA Career Center and Student Affairs to align student employment with the University’s larger goals for students’ professional development.
Congratulations! You’ve been nominated and selected to receive the Spotlight on Excellence recognition, presented by UVA’s Office of Organizational Excellence (OE). You are recognized for delivering high-quality customer service and establishing productive partnerships to lead the student hiring improvement pilot initiative.
Your nominator cited your exceptional leadership and partnerships to streamline the student hiring process and ensure that these hires meet compliance standards. Specifically, your focus on schools and units with limited embedded HR support for these transactions yielded immediate results for both the student hire and the hiring organization (Admissions, African-American Affairs, Batten School, Center for Undergraduate Excellence, Dean of Students, Fraternity and Sorority Life, McIntire School, Music, and Newcomb Hall).
Your simulation of the future Workday technology-enabled student hiring process ensures that this work is transferable to the Workday environment in June 2018. Through centralization of the process, students received consistent employment-related information and standard processing and the schools/units received operational relief. As your nominator added, “Every student is now experiencing the same process in the same timeframe while maintaining compliance.” The benefits are evidenced by the data generated from the most recent 225 new student hires - a 90 percent student onboarding satisfaction rating and 98 percent I-9 compliance. As a result of a successful pilot, we are delighted that this standard, consistent, and streamlined approach will be scaled to meet the needs of all students employed by the University.
